Welcome to Ashyana Events & Catering  (“Ashyana,” “Ashyana Banquets”, “Ashyana Catering”, “we,” “our,” or “us”). By accessing or using our website, submitting an inquiry, or booking our catering and event services, you agree to the following Terms and Conditions. Please read them carefully.

If you do not agree to these Terms, please refrain from using our website or services.


1. General Information

Ashyana Events & Catering provides full-service catering, banquets, and event management across our own venues and over 130 partner venues.
These Terms govern your use of our website and all inquiries, proposals, bookings, and related communications.

We reserve the right to modify these Terms at any time without prior notice. The latest version will always be posted on this page.


2. Website Use

  • The content on this website is for general informational purposes only.

  • You agree not to misuse the website, upload harmful content, or interfere with other users.

  • All text, images, menus, designs, and logos are the intellectual property of Ashyana Events & Catering and may not be reproduced or distributed without written permission.

  • Unauthorized use may result in legal action or damages.


3. Event Inquiries, Quotes, and Proposals

  • Submitting an inquiry or quote request does not guarantee a booking or hold a date.

  • All proposals and estimates are valid for a limited time (typically 7–14 days) and are subject to change.

  • Final pricing is confirmed only after a signed agreement and deposit are received.


4. Bookings, Deposits, and Payments

  • A signed contract and non-refundable deposit are required to secure your event date.

  • Deposits typically range from 25–50% of the total estimate.

  • Final payment is due 7–14 days prior to the event, unless otherwise stated in writing.

  • Additional charges (e.g., overtime, damages, rentals) will be invoiced after the event and must be paid within 7 business days.

  • Payments can be made by check, ACH, credit card, or approved payment processor.


5. Cancellations and Rescheduling

  • All deposits are non-refundable.

  • Cancellations must be made in writing.

  • Cancellations within 30 days of the event may result in full payment due.

  • Rescheduling: Events may be rescheduled (subject to availability) within 12 months of the original date. Deposits will be applied to the new date, but additional fees may apply.

  • Refunds, if any, are solely at the discretion of management.


6. Security Deposits and Damages

  • A refundable security deposit may be required for certain events.

  • Clients are responsible for any damages to property, equipment, or furnishings caused by guests, vendors, or contractors.

  • Costs for repair or replacement will be deducted from the security deposit or billed to the client if insufficient.


7. Menus, Food, and Beverage

  • Menu items and pricing are subject to seasonal and market availability.

  • Menu changes or special requests must be finalized at least 14 days prior to the event.

  • Tastings may be scheduled for select events.

  • Outside food or beverages are not permitted without written approval.

  • Leftover Food Policy: Once food has been served, any leftovers removed from the premises become the client’s responsibility. Ashyana assumes no liability for food consumed after service.  The client is in fact not allowed to carry out food from any function.


8. Food Allergies and Dietary Restrictions

  • Please inform us in writing of any allergies or dietary needs prior to finalizing the menu.

  • While we make every effort to accommodate special requests, we cannot guarantee an allergen-free environment and are not liable for allergic reactions.


9. Alcohol Service

  • Alcohol service follows all local and state laws.

  • We reserve the right to refuse service to anyone underage or visibly intoxicated.

  • The client is fully responsible for guests who consume alcohol at their event.

  • Alcohol Liability Disclaimer: Ashyana assumes no liability for accidents or incidents arising from alcohol consumption on or off-site.


10. Event Setup, Rentals, and Décor

  • Ashyana will provide staffing, linens, décor, and equipment as stated in your proposal.

  • Final setup, layout, and guest count must be confirmed 10 days prior to the event.

  • Delays caused by clients, vendors, or guests may result in overtime charges.

  • All provided equipment remains Ashyana’s property; missing or damaged items will be billed at replacement cost.


11. Staffing and Labor

  • Staffing levels are based on guest count and service style.

  • If additional staff are needed due to last-minute changes or extended hours, extra labor fees will apply.

  • Overtime is billed according to your event agreement.


12. Client Responsibilities

You, the client, agree to:

  • Provide accurate event details and updates.

  • Ensure a safe and suitable working environment for our staff and vendors.

  • Obtain any necessary permits or insurance not handled by Ashyana.

  • Take responsibility for guest conduct, including damages or disruptions.


13. Venue Partnerships

  • Ashyana is a preferred partner at over 130 venues across the Chicagoland area.

  • Clients must comply with each venue’s specific policies, restrictions, and insurance requirements.

  • Venue access fees or special permits, if required, are the client’s responsibility.


14. Subcontractors and Partner Restaurants

  • In some cases, food or specialty items may be provided by partner restaurants or subcontractors (e.g., Sabri Nihari).

  • These partners operate under Ashyana’s supervision and quality standards, but Ashyana is not responsible for the actions or omissions of independent third parties.


15. Permits, Licensing, and Health Compliance

  • Ashyana operates under all required health, safety, and food service licenses.

  • The client is responsible for ensuring that any selected venue complies with local fire, health, and occupancy codes.


16. Photography and Media Use

  • By hosting or attending an event with Ashyana, you grant permission for photographs and videos taken during your event to be used for marketing, social media, and promotional purposes.

  • You may opt out by notifying us in writing before or after the event.


17. Accessibility and Non-Discrimination

  • Ashyana provides services to all clients regardless of race, religion, gender, orientation, or background.

  • We strive to ensure our facilities and services are accessible and inclusive for all guests.


18. Force Majeure

Neither party shall be held liable for delays or failures caused by circumstances beyond their control, including:

  • Acts of God, natural disasters, pandemics, epidemics, public health orders

  • Government restrictions, labor disputes, or transportation issues
    In such cases, deposits are transferable but not refundable.


19. Limitation of Liability

Ashyana Events & Catering shall not be liable for:

  • Loss, theft, or damage to personal property

  • Food allergies or reactions

  • Injuries, accidents, or incidents not directly caused by Ashyana’s negligence

  • Indirect or consequential damages
    In any case, Ashyana’s liability shall not exceed the total amount paid for the specific service rendered.


20. Indemnification

You agree to indemnify and hold harmless Ashyana, its owners, employees, and affiliates from any claims, damages, or expenses arising from:

  • Your use of our services or website

  • Guest or vendor actions

  • Breach of these Terms


21. Event Delays and Timing

  • Service begins at the agreed-upon time.

  • Delays due to guest or vendor actions may incur overtime labor costs.

  • Early setup or teardown requests may also result in additional charges.


22. Electronic Signatures and Communication

All contracts, agreements, and communications sent electronically via email, online form, or digital signature platform carry the same legal authority as signed physical documents.


23. Dispute Resolution and Governing Law

  • Both parties agree to attempt good-faith resolution or mediation before pursuing legal action.

  • These Terms are governed by the laws of the State of Illinois.

  • Any disputes shall be resolved in DuPage County, Illinois through binding arbitration or small claims court, as appropriate.

  • Under no circumstances will a refund exceed the amount charged by Ashyana for the item in dispute.
  • Ashyana does not pay for issues that can be deemed “subjective”.

24. Intellectual Property

All website content — including designs, menus, logos, and text — is protected by copyright by Samar Jain.
You may not copy, distribute, or use any material without written consent from Ashyana Events & Catering.

Our agreements/ contracts/ proposals are also protected, and our property.


25. Business Transfers

If Ashyana merges with or is acquired by another entity, client information may be transferred as part of that process, under the same privacy and data protection standards.


26. Disclaimers

  • Information provided on this website is for reference only and may change without notice.

  • Menu and pricing updates may occur based on seasonality or market conditions.

  • Event results may vary depending on client cooperation, venue logistics, and other external factors.


27. Severability

If any clause in these Terms is found to be unenforceable, the remaining provisions will continue to be valid and in effect.

29. Entire Agreement

These Terms & Conditions, along with any signed proposals or agreements, represent the entire understanding between the client and Ashyana Events & Catering.
No oral or prior written communications shall alter these terms unless formally approved in writing by management.
